Important Information for Passengers
Prices - Prices for land components, houseboat rentals and vacations are subject to change until reservations are confirmed along with payment of an applicable per-person deposit. Airfare prices, availability, times and flights are subject to change until paid in full and may change without notice. All prices are subject to change without notice, are subject to foreign currency fluctuation and may be subject to limited availability. Seasonal surcharges, restrictions and blackout dates may apply. The exact price depends upon the day of departure, departure city, length of stay, ship, hotel, room or stateroom type, or other inclusions including, but not limited to, airfare, transfers, rental cars, taxes or administrative fees. Prices and offers are valid for new bookings only. Any increase in fees, taxes or surcharges, which are imposed by the government or our travel suppliers, are outside the control of Costco Travel and are the passenger’s responsibility to pay, even if the booking is paid in full.
Exclusions - Unless indicated, prices do not include airfare, gratuities, meals, telephone calls, some resort service fees, any personal or incidental items,
or any other features not listed except where otherwise noted. Additionally, cruise prices do not include transfers, administrative fees or taxes.
Deposit - A $100 per-person deposit is required at the time of booking for land-only vacations. Air-inclusive vacations require the airfare portion to be
paid in full at the time of booking, along with the $100 per-person deposit. Cruise bookings require a deposit at the time of booking, which may vary by cruise line. Some deposits for
promotional cruise fares are nonrefundable, and administrative change and cancel fees apply to all bookings under deposit. Deposits for other services may apply and vary by vendor.
Certain deposits are nonrefundable. Insurance premiums and certain vendor fees are not refundable. A damage deposit also may be required at the time of booking for certain vacation
and houseboat rentals.
Final Payment - Cruise bookings require full payment between 90 and 160 days prior to sailing, depending on the cruise line. Full payment is due 45 days
prior to departure for all other vacations unless otherwise specified by individual vendors.
Forms of Payment - American Express® is the preferred payment method for Costco Travel. American Express, Visa or MasterCard are the only acceptable forms of
payment for cruise vacations and online booking vacations. For call center bookings, American Express, Visa, MasterCard, cash and checks are accepted. Checks are not accepted for late
bookings or for deposits that require credit card payment. Payment by check is not considered complete until funds have been deposited. All returned checks will be charged a $35
service charge and may result in cancellation of your booking or additional fees.
Late Bookings - For bookings made within three weeks of departure, it might be necessary to expedite delivery of documents. In those cases, bookings are subject to a $15 document shipping and processing fee. South Pacific and Europe bookings that are made within three business days of departure are subject to an additional $50 handling fee. For all bookings made within seven days of departure, an e-mail address must be provided so that electronic documents can be sent. Costco Travel is unable to accept hotel bookings that are on request within seven days of the departure date.
Revisions and Cancellations - In the event you need to change or cancel your reservation or any information provided as part of the reservation, please contact Costco Travel as soon as possible. Cancellations made more than two days after booking will result in a forfeiture of the $100 per-person deposit, as well as airfare penalties up to and including the full cost of the airline ticket. A $75 per-booking fee applies to all changes. Reservations canceled 45 days or less prior to departure will incur a $125 per-person fee, plus vendor cancel fees. Other restrictions may apply. Revision, cancellation and refund policies vary by vendor. All refunds are subject to vendor cancel fees up to 100% of the cost of the trip. In all instances, no-shows are nonrefundable. Trip Protection may be purchased at the time of booking, which may cover cancellations for covered reasons. Please note, Trip Protection is not available for residents of CA, FL, NY, NC, OR, TX or WA.
Trip Protection - Trip Protection is valid for U.S. and Canadian residents only, excluding residents of CA, FL, NY, NC, OR, TX and WA. Once purchased, the policy is not refundable, changeable or transferable. The full description of coverage is available to view online at www.costcotravel.com under “Trip Protection.”
Refunds - Refund restrictions and policies for unused travel or vacation components vary by airline, by vendor, by season and according to promotional rules
and are subject to applicable rules of each vendor. Trip protection premiums, airfare and some vendor fees are not refundable. Unused travel or vacation components may be refundable
under certain circumstances when prior notification of cancellation is given and if all other applicable terms and conditions are met. Other restrictions may apply. Please inquire
about refunds at the time of booking.
Documents - For land-only packages or air-inclusive packages to the Caribbean, Hawaii or Mexico, each of the services you purchased will be outlined on your invoice. Therefore, the invoice is the only document you’ll need to carry with you as you travel. For land-only or air-inclusive packages to Europe, the South Pacific, Australia or New Zealand, your documents will arrive via mail approximately 21 days prior to departure. They will include an invoice as well as vouchers for each of the travel services. Cruise documents are offered electronically 75 days prior to departure for Holland America, Princess, Carnival, Royal Caribbean, Celebrity and Azamara. All other cruise line documents will be mailed approximately 14 days prior to sailing. For late bookings, or if expedited delivery of documents is necessary, a $15 document shipping and processing fee will apply. Please check your documents to confirm accuracy of all information. Call Costco Travel immediately at 1-877-849-2730 if there are any discrepancies or if you have questions.
Airline Confirmation, Fees, Check-In and Seats - It is important to confirm all flights with the airline prior to departure. For domestic flights, 24 hours is recommended. For international flights, 72 hours is mandatory. Failure to confirm international flights or to use any portion of the reservation may result in automatic cancellation for all continuing and return flights. Please verify specific guidelines with your airline when confirming your flights as guidelines change by airline, airport, flight and security restrictions. Fees for checked baggage and other services may apply and vary by airline. For complete information, please visit the airline’s Web site. Latecomers may lose their assigned seat or be denied boarding at their own expense. In all cases, unless additional time is required by the airline, it is important to arrive at the airport at least two hours prior to departure for all domestic flights and two to three hours prior to departure for international flights. Choice of seat assignments may be limited at the time reservations are requested and at times not assignable until check-in. Seat assignments are capacity controlled at the sole discretion of the airline and are subject to change by the airline without notice. Costco Travel cannot guarantee seat assignments.
Proof of Identity - Government-issued photo ID is required for all travel, both domestic and international. Passports are required for international travel. You will not be permitted to depart without necessary documentation. There may be additional requirements for international travel, such as inoculations or visas, and some countries require that passports be valid for six months or longer beyond your stay in the country. Passport and entry requirements are subject to change at any time without notice. For the most current information on passport and entry requirements, please visit the official Web site for the U.S. Department of State (www.travel.state.gov). Special travel documents are required for children traveling with or without their parents. If you are traveling with children, please check with the airline or cruise line prior to departure. If you are not a U.S. citizen, you must contact the consulate of the country you are visiting to inquire about visa requirements. You must also contact the Immigration and Naturalization Service (1-800-375-5283, www.uscis.gov) for reentry requirements into the U.S.
Travel Health Information - For the most current worldwide health information, consult your family physician or the official Web site for the Centers for Disease Control and Prevention at wwwn.cdc.gov/travel/ or by phone at 1-800-232-4636. You'll find information on recent outbreaks, required vaccinations, safe food and water tips, insect protection, illness and injury abroad, and more.
Requests - Specific requests must be made at the time of booking and are subject to availability at the time of check-in. Seat assignments and bedding
requests cannot be guaranteed. Some hotels and cruise lines impose an additional charge if a crib, a roll-away or a refrigerator is required, payable by the guest directly to the
hotel or cruise line.
Rental Cars - All car rentals are subject to the rules and regulations of the car rental company. Car rental rates are based on 24-hour rental periods. Late returns and returns to alternate locations are subject to charges or penalties paid by the renter directly to the car rental company. Cars are available for rental to individuals 25 years or older (exceptions apply) holding a valid driver's license. A surcharge may be added for drivers less than 25 years of age. Rates exclude gas, optional insurance coverage, and some applicable taxes and surcharges. Any additional fees assessed at the time of booking, which cannot be prepaid, will be collected at the time of rental. The car rental company requires the imprint of a valid credit card in one of the driver's names as security to cover incidentals. Auto insurance is the responsibility of the registered driver. Additional drivers must be 25 years of age and will be charged an additional rental fee.
